Wholesale Peptide Supply: Matching the Order, Receipt, and Invoice

Check wholesale peptide invoices against authorized order lines and receiving records using a three-way match checklist and an exception example.
A wholesale peptide supply invoice can look correct at the total level while containing a line-level mismatch. Three-way matching compares what was authorized, what was received, and what was billed. The purpose is to identify exceptions before an invoice moves through your organization's payment process.
This workflow concerns in vitro laboratory research materials, not human or veterinary use.
Identify the three records
The approved purchase order or accepted order confirmation establishes authorized scope. The receiving record establishes what arrived and its current review status. The invoice states what the supplier is asking your organization to pay.
Keep the documents separate. An invoice is not evidence that every billed unit arrived, and a delivery acknowledgment is not necessarily a laboratory acceptance decision.
Match each line on the same basis
| Check | Compare across the three records |
|---|---|
| Item | Exact compound option and specification reference |
| Unit | Kits versus individual vials |
| Quantity | Authorized, delivered, and billed totals |
| Price | Accepted unit price and invoiced unit price |
| Charges | Agreed delivery or other order charges |
| Status | Received, under review, accepted, or unresolved |
Convert quantities only when the packaging relationship is confirmed. Ten Kits and ten vials are different quantities when each Kit contains ten vials. Keep the original units visible alongside any normalized total.
Handle an exception without changing history
Suppose an authorized order contains five ten-vial Kits, the receiving record shows four Kits, and the invoice bills five. Record the one-Kit difference. Ask whether the remaining Kit is backordered, shipped separately, or incorrectly invoiced. Do not change the receiving quantity to make the invoice match.
Payment treatment should follow the accepted commercial terms and your institution's procedures. The checklist does not establish a right to withhold payment or change those terms unilaterally.
Close the exception with evidence
Record the explanation, responsible reviewer, and resulting correction. If the supplier issues a credit or revised invoice, connect it to the original invoice number. A promised correction remains open until the corresponding record is available.
The wholesale shipping and receiving guide provides the physical receipt context. Keep your invoice match linked to that record instead of duplicating its observations in an unrelated spreadsheet.
